What to have ready

Your details

You register yourself as the landlord, then add each property. If you use a letting agent you still start the registration yourself; the agent can upload some information for you, but you stay responsible for it.

Property records

For each property: the gas safety record, Electrical Installation Condition Report (EICR) and most recent EPC if they exist, the rent charged and how often it is paid, and the number of occupants.

Registering is separate from tax: rental profit is still reported through Self Assessment, and from April 2026 landlords above the Making Tax Digital threshold also send quarterly updates. Work out the tax on your rental profit with the rental income tax calculator.

Frequently asked questions

What is the PRS database?
The Private Rented Sector Database is the government's "Register your rental property" service, created by the Renters' Rights Act 2025. Landlords of assured or regulated tenancies in England must register themselves and each let property. Registration opens region by region, starting with the West Midlands on 15 December 2026.
When is my registration deadline?
Each region has a three-month window from the date the regulations commence there. The first deadline is 14 March 2027 (West Midlands); London's is 14 October 2027, and the last is 14 November 2027 (South West). The deadline depends on where the property is, not where the landlord lives.
How much does PRS database registration cost?
There is an annual £65 registration fee per property, renewed each year. During the regional rollout the first fee is pro-rated, so landlords who register first do not pay more.
What happens if I don't register?
After your region's deadline the council can take enforcement action. Failing to register is a breach with a civil penalty of up to £7,000. Carrying on after a penalty, a further breach within five years, or knowingly giving false information to the database is an offence, with a civil penalty of up to £40,000 or prosecution.
Which properties need to be registered?
Properties that are let, or become let, during the rollout period. Landlords of supported exempt accommodation do not need to register. Unoccupied properties are not covered yet; the government says they will be covered by future legislation.
Does the PRS database apply in Wales, Scotland or Northern Ireland?
No. The Renters' Rights Act 2025 database covers England. Scotland and Wales already run their own landlord registration schemes (Landlord Registration Scotland and Rent Smart Wales).
