How to use the timesheet generator
- Add employer details. Enter the employer name and, if relevant, company number, VAT number, address and logo.
- Add worker details. Enter the worker's name, optional address, and an internal Worker ID if you use one.
- Set the timesheet number and period. Give it a unique reference, the period start and end dates, and a job reference if the hours relate to a specific job.
- Log each task. Add a time entry for every task with a description, optional task code, and hours worked — the generator totals the hours automatically.
- Set work type and sign-off. Mark the hours as billable, non-billable or overtime, and record who approved the timesheet.
What to include in a timesheet
- Timesheet number. A unique reference so it can be tracked through payroll or client invoicing.
- Pay period. The start and end dates the hours cover.
- Task descriptions and hours. A clear breakdown of what was worked on and for how long, per task.
- Task or job codes. Optional, but useful for matching entries to specific projects or cost centres.
- Work type. Whether the hours are billable, non-billable or overtime.
- Approved by. Records who signed off the hours before they were paid or billed.
Bill the hours
Once hours are approved, convert them into billable line items on an Invoice, or check the underlying job with a Work Order.
Frequently asked questions
What should a timesheet record?
Record the pay period, a description of each task, an optional task code, and the hours worked. This generator totals the hours automatically for payroll or client billing.
Can contractors use this to bill hourly work?
Yes — many self-employed contractors use a timesheet to justify hours before converting them into billable line items on an Invoice.
Does the timesheet need to be approved?
Many businesses require manager or client sign-off before hours are paid or billed. Use the "Approved by" field to record who authorised it.
What is the difference between billable and non-billable hours?
Billable hours are work you charge the client or employer for; non-billable hours cover things like internal admin or training that aren't invoiced. Recording the work type on each timesheet keeps that distinction clear when it comes to billing.
Can I list several different tasks on one timesheet?
Yes — add a separate time entry for each task with its own description, optional task code and hours. The generator totals the hours across all entries automatically.
What should I put in the Worker ID field?
Use whatever internal reference you already track the worker by, such as an employee or payroll number. It is optional and mainly useful when a business runs several timesheets in parallel.
