How to use the statement of account generator
- Add your business and client details. Enter your business name and address, plus the client's name and address, and optionally upload your logo.
- Set the statement number and period. Give it a unique reference, the statement date, and the date range it covers.
- Add each invoice. For every open or recent invoice, enter the invoice number, invoice date, due date and amount.
- Record what's been paid. Enter any amount already paid against each invoice — the generator calculates the remaining balance per line.
- Review the totals. The preview shows the total invoiced, total paid, and total outstanding across every invoice listed.
What to include in a statement of account
- Statement number. A unique reference for this particular statement, separate from the invoice numbers it lists.
- Period covered. The date range the statement summarises, so the client knows what's included and what isn't.
- Every open invoice. Invoice number, invoice date and due date for each, so the client can cross-reference against their own records.
- Amount and amount paid per invoice. Shows exactly how much of each invoice remains outstanding.
- Running balance. The total amount still owed across all invoices listed, calculated automatically.
- Business contact details. Phone and email so the client can query any figure or arrange payment.

Frequently asked questions
What is a statement of account used for?
A statement of account lists every invoice issued to a client over a period, what has been paid against each, and the running balance owed. It is useful for clients with multiple open invoices, or at month-end reconciliation.
How is it different from an invoice?
An invoice bills a single transaction. A statement of account is a summary across many invoices over a date range, showing the total outstanding rather than requesting a new payment.
How often should I send one?
Monthly is common for clients on ongoing account terms. Send one whenever a client needs a clear picture of everything outstanding, not just the most recent invoice.
What if an invoice has only been partly paid?
Enter the invoice amount and whatever has been paid against it in the Paid field — the generator works out the remaining balance for that invoice automatically and adds it to the total outstanding.
Can I limit the statement to a specific date range?
Yes — set a Period From and Period To date so the statement clearly shows which billing period the listed invoices relate to.
Does the statement show which invoices are overdue?
Each line includes a Due Date so the client can see at a glance which invoices have passed their payment date, though the generator does not flag overdue items separately from the total outstanding balance.
