How to use the receipt generator
- Add your details and logo. Enter your business name, company and VAT numbers, address, and optionally upload your logo and set an accent colour.
- Add the client's details. Enter who paid you and, optionally, their address.
- Set the receipt number and dates. Give it a unique reference, the receipt date, and the date payment was actually received.
- List what was paid for. Add each item as a line with a description, quantity and unit price — the generator totals these automatically.
- Add VAT and payment details. Select a VAT rate if applicable, then record the payment method and any reference number.
What to include in a receipt
- Receipt number. A unique reference so the payment can be traced back to this specific transaction.
- Paid date. The date the money actually landed, which can differ from the receipt date.
- Net, VAT and gross amounts. Especially important if you are VAT registered — a clear breakdown supports it as a simplified VAT receipt.
- Payment method. Bank transfer, cash, card or cheque, so both sides can match it against bank records.
- Payment reference. A transaction ID or similar, useful for reconciling against a bank statement.
- Your VAT number. Required if the receipt is being used as a VAT receipt for the customer's own records.

What is the difference between a receipt and an invoice?
An invoice requests payment; a receipt confirms payment has already been received. If you are VAT registered, a receipt showing the VAT breakdown can double as a simplified VAT receipt for lower-value sales.
Do I need to issue a receipt for every sale?
There is no general legal requirement to issue a receipt for every UK sale, but customers often expect one, and it is good practice for your own records and for any VAT you have charged.
Can I use this as a VAT receipt?

Can I add my logo and business colours to a receipt?
Yes — upload your logo and set an accent colour under Your Details, along with your contact details and a footer note, so the receipt matches your other business documents.
What payment method should I select?
Choose whichever the customer actually used — bank transfer, cash, card or cheque. Recording the method (and a reference where available) makes it easier to match the receipt to your bank records later.
How long should I keep copies of receipts I issue?
Keep a copy with your other business records for at least as long as you are required to retain accounting and VAT records, so you can support any figures in your accounts or VAT return if asked.
